What goes on a call sheet, and when does it go out?

ItemTypical practice
SentThe evening before the shoot day, once the 1st AD has wrapped the day
General crew callThe time most crew start. Departments with long setups come earlier
Shooting callWhen the first shot is expected to roll, after setup and rehearsal
Cast timesPickup, then hair and makeup, then on set, listed per actor
SafetyNearest hospital with address, plus any stunts, weapons or water work flagged
PagesTotal pages for the day, counted in eighths: a 1 4/8 page scene is 12 eighths

Who makes the call sheet?

On most sets the 2nd assistant director builds it from the shooting schedule, and the 1st AD signs off on it. On a short film, it is often the producer or the director doing it at midnight. Either way, it goes out the evening before, so people can plan their morning.

The schedule comes from the script breakdown: each scene’s location, cast and length in eighths of a page. If you have not broken your script down yet, our free script breakdown tool does it from a PDF in a few seconds and gives you the scene list to copy in here.

What do people actually read on it?

Their own call time, the address, and parking. Put those where the eye lands first, which is why this template leads with them. Next comes the scene list, so departments know what to prep, and the cast times, so hair, makeup and wardrobe can plan the morning.

The nearest hospital is not decoration. List the full address, and flag anything risky in the notes, such as stunts, prop weapons, water, heights or night driving. It is the line nobody reads until the day they need it.

Should I use a spreadsheet or a PDF?

Send a PDF. Everyone can open it on a phone and nobody can change it by accident. Keep the spreadsheet version for yourself, because tomorrow’s call sheet is today’s with a few cells changed. The download here works in Excel, Google Sheets and Numbers.

Yes. Fill this one in on the page and print it as PDF in US Letter or A4, or download it as a CSV spreadsheet. No signup.

The CSV download opens in Excel, Google Sheets and Numbers. For Word, print to PDF from this page, which keeps the layout.
